AI Video for Teams: Sharing Access, Credits and Assets (2026)

How teams share AI video tools: seats vs pooled credits, brand kits, asset libraries, approvals and API keys, plus what VdoBloom offers today.

By VdoBloom Team

Teams should run AI video through invited seats or separate accounts, never one shared password. Runway’s Team plan and Higgsfield’s Team plan both charge per seat and pool every seat’s credits into one workspace balance. HeyGen and Canva sell per-person business plans with collaboration built in. VdoBloom has no team accounts today: no seats, no shared balance, no roles. A team can still work on it with one account per person or one producer account, plus Brand Kit, My Library, review links and API keys.

Shared logins vs shared workspaces

The quickest way a small agency “goes team” is to pass one email and password around. It works until it doesn’t, and the failure modes are predictable:

  • No offboarding. When a freelancer leaves, the only way to cut them off is to change the password for everyone.
  • No accountability. Every render, refund request and settings change looks like it came from the same person.
  • Sign-in friction. One-time codes and new-device checks land in one person’s inbox, so the rest of the team waits.
  • Terms of service. Most platforms forbid it. VdoBloom’s own terms list sharing account credentials with others as something users must not do.

A workspace solves this by giving each person their own login inside a shared billing and asset space. The owner invites and removes people, and the work stays when someone leaves. If your tool has no workspace, the honest alternative is separate accounts, not a shared one.

Seat pricing vs pooled credits

AI video platforms price team access in two ways, and many combine them:

  • Per-seat pricing. You pay a monthly fee for each member who can generate. Viewers or reviewers sometimes don’t need a seat, depending on the plan.
  • Pooled credits. Each paid seat adds credits to one shared balance, so a heavy user can spend more than their “share” while a light user spends less. Spend caps per member are usually a higher-tier feature.

Pooling matters more than it sounds. Video credits get consumed unevenly: one editor producing ten-second 1080p clips can use more in a day than a copywriter uses in a month.

Prices come from each vendor’s own pages in October 2026 and change often, so check before you budget. Runway and Higgsfield are the closest match for an agency that wants seats, a pooled balance and admin controls in one place. Canva is the strongest on brand governance, but it is a design suite first and its AI video is one feature among many. For a wider look at the first two, see our Higgsfield vs Runway comparison.

What a team workflow actually needs

Approvals

Someone other than the person who made a clip should sign it off before it ships. Built-in options range from Canva’s approval requests to Runway’s frame-accurate comments. If your generator has neither, export to whatever review tool the team already uses and keep the generator for making clips.

Brand kits

Colours, logo, tone of voice and key messages, saved once so every ad starts on brand. Our brand style guide post covers what to put in one.

Asset libraries

The recurring characters, products and reference styles a campaign depends on. Re-uploading the same product photo to every tool wastes time and invites version mix-ups.

Naming

Agree a pattern before the first render and stick to it. A simple one is client_campaign_asset_ratio_v01, for example acme_spring_hero_9x16_v03. Use the same names for saved brands, library items and exported files so anyone can find the approved version without asking.

API keys for automation

When renders are triggered by a spreadsheet, n8n or Make, give each integration its own named key instead of pasting one key everywhere. When a workflow is retired or a contractor’s script is no longer needed, you revoke that key alone.

What VdoBloom has for teams today, and what it doesn’t

To be plain about it: VdoBloom accounts are single-user. There is no workspace, no invite flow, no seats, no roles and no shared credit balance between accounts. Here is what does exist and how it helps a team:

  • Brand Kit. Save up to 20 brands per account, each with a name, tagline, description, tone, audience, three brand colours, a logo, up to five key offers and five key messages. It can draft a kit from a website you paste in, which you edit before saving. Your default brand pre-fills the ad tools, including the video ad generator and ad variations.
  • My Library. Up to 200 saved characters, products, voices and styles, each holding one to four images. A “From my library” picker drops them into a tool’s reference slot, so a recurring product or presenter stays consistent across clips.
  • Boards. A node canvas for chaining generations and stitching clips. Boards are private to the account that made them; you can’t share or co-edit one.
  • Review links. On paid accounts, videos are private by default. You can publish a single finished video to a public watch link for a client to view, then unpublish it. Videos built from your own uploads can’t be published this way.
  • API keys and MCP. Up to 10 active named keys per account, each shown once, revocable on its own, with a last-used time and an optional webhook URL. Keys can’t create or revoke other keys. Calls spend your balance at the same prices as the app, and the developer docs cover REST and the hosted MCP server.

Every saved brand, library item, board and key belongs to one account, and so does the balance. A key has no spending cap of its own, and the account holder is responsible for everything sent with it.

Practical setups for a team on VdoBloom

  1. One account per person. Each creator signs up and buys their own credits, expensed like any other software. Set up the Brand Kit once, then rebuild it in each account by pasting the client’s website into the draft tool and editing the result. One-time credit packs never expire, so a quiet month doesn’t waste budget.
  2. One producer, many reviewers. A single person owns the account and runs every generation; strategists and clients review through public watch links or exported files in your shared drive.
  3. Automation on a company-owned account. A technical lead owns the account and creates one named key per workflow, such as an n8n pipeline or a Make scenario. See our n8n and Make guide and the API quickstart.

None of these replaces a real workspace with roles and per-member spend limits. If you need those today, pick a platform that has them.

Verdict by use case

  • Agency with 3–9 editors who all generate daily: Runway Team or Higgsfield Team, for invited seats and one pooled balance.
  • Larger team that needs spend controls, SSO or audit logs: Higgsfield Scale or Enterprise, or Runway Enterprise.
  • Presenter and avatar videos with comment-based review: HeyGen Business.
  • Brand-governed marketing team making mostly static content: Canva Business, for approvals and many Brand Kits.
  • Solo creator or one-producer team that wants many models with pay-as-you-go credits: VdoBloom, starting from text to video or image to video, with the limits above in mind.
  • Developers wiring generation into their own tools: any of the API-backed options; VdoBloom keys spend the same credits as the app with no separate API plan.

FAQ

Can several people use one VdoBloom account?

Not by sharing the password; the terms forbid sharing credentials. One person can own the account and share finished videos through review links, or each teammate can have their own account.

Can VdoBloom credits be pooled or moved between accounts?

No. Each account has its own balance and there is no transfer between accounts. Credit packs and plans are on the pricing page.

Can I share a Board or a Brand Kit with a colleague?

Not today. Both are tied to the account that created them. A colleague can draft the same Brand Kit in their own account from the client’s website.

What happens to API access when someone leaves?

Revoke the key their workflow used in Settings → Developer. Other keys keep working, and revocation doesn’t depend on any feature switch, so you can always cut off a key.
